Guard Tours and Incident Reports: A Simple Field Process

Security contracts are won and lost on proof. A client rarely asks whether your guard was good; they ask what happened at 02:40 and who can confirm it.

Capture at the moment, not at the end

Reports written hours later lose detail. A short form filed from the phone — time, location, photos, a few lines of description — keeps the record accurate.

Include what a client will ask for

  • Exact time and site
  • Who was on post
  • Photos or video where relevant
  • Action taken and who was notified

Keep the trail attached to the shift

When the report is tied to a verified clock-in, the shift log and the incident tell one consistent story. That is what survives a dispute.

Make retrieval easy

Being able to pull last quarter's incidents for one site in a few clicks is worth more than any template.
